Swim Manager is the online system we use to run club administration. It helps us manage memberships, contact and medical details, subscriptions, gala entries, results/PBs, team selection and attendance—securely and in one place.

We use Swim Manager to process member data in accordance with UK GDPR. Access is restricted to authorised club officers and coaches on a need-to-know basis. If you have any questions about how your data is used, please contact the Club Secretary or Welfare Officer.

- Attendance tracking: coaches record session attendance.
- Club messages: receive and view copies of all club emails in one inbox.
Getting started (login details)
- When you join the club, you’ll receive an email invitation to create your Swim Manager account.
- On first login, you’ll be asked to set a password and review your details.
- Please keep your contact, medical and emergency information up to date so coaches and team managers have the right information.

- Stores personal details for you/your swimmer(s), including:
- Contact & medical info, emergency contact
- Photo/consent preferences
- Attendance history
- Results and PBs

Meets
Enter targeted meets online:
- Only eligible meets and events (based on squad and qualification times) will appear.
- Select events, review fees, and submit.
- You can view entry status, deadlines, and any meet documents the club shares.
Teams
Used for team gala selection (e.g. Arena League, Micro League):
- You’ll receive a selection notice in Swim Manager/email.
- Confirm availability (“Yes/No”) by the requested deadline.
